在外贸中,邮件是与客户进行频繁联系的主要渠道,邮件又可以细分为开发信,询盘邮件,发样邮件等等。开发信顾名思义就是你第 一次写给潜在客人的邮件,信函。而过后的各种邮件其目的是跟进这个潜在客户,希望建立业务合作,收获订单,扩展业务。外贸邮 件抛送的是希望建立友好合作关系的橄榄枝,带来的可能是滚滚不尽的金钱流,发出的是希望,期待的是回复。然而在简短的信件里 要怎样表达才能抓住客户的心呢?各类邮件的书写内容应该注意什么呢?今天,阿连小编就和你说说成功邮件炼成记。

In foreign trade, the E-Mail is the main channel to contact with customers frequently, while the E-Mail can be  subdivided into the development letter, inquiry-mail, sample mail, etc. Development letter is the first email that  you send to your potential customer, and a series of E-Mails aim at develop the potential customer and establish the  cooperation relationship to expand the business. The foreign trade E-Mail sends out the cooperation wishes and  brings the business, sending out the hope and hoping to get the reply. However, how to seize customer’s heart in  this brief letter? What should be pay attention to in the content? Now I would like to talk about the E-Mail with  you.

一、一般的模板

1. General template

Dear Sirs/Madam:

Good day! How are you?

Glad to hear that you're on the market for fiberglass.

We specialize in this field for several years, with the strength of chopped strand mat and stitch chopped strand mat, with good quality and pretty competitive price.

Should you have any questions, pls do not hesitate to contact me. FREE SAMPLES will be sent for your evaluation.

Tks & br,

[company name] (这里留下公司名、电话、传真、邮件就可以了,正文就可以写的很简单。)

(Leave your company name, phone, fax, e-mail on it and the text can be very simple.)

Website: http://www.####.com (请记住,如果你非要在里面加上网页链接,请放在签名里,不要放正文,让人感觉更像搞推销的,不太好。)

(Do remember that if you have to add the web link in it, put the signature inside but not in the body which will feel like the promotion.)

二、外国通用版本

2. Foreign general version

Dear Sirs/Madam:

Good day! How are you?

XYZ trading here, exporting LANTERNS with good quality and low price in US.

Call me, let's talk details.

三、发出开发信后,如果你一直都没有收到客户的回信,也许你会很着急,很想知道客户为什么没有回复呢?是因为产品问题,还是市场问题呢?所以,你可以再发一封邮件。

3. After sending out the development letter, if you have not received a reply, maybe you'll be worried and want to know why the customer does not reply you. Is it because of the product or market? So, you can then send an e-mail again.

Dear Sirs/Madam:

Good day! How are you?

Sorry to trouble you again.

Please find my mail below. Could you please kindly check by return today? Because we'll be on holiday from May.1st to 3rd.

先写得委婉一点,把你上次写给他的邮件放在下面。如果他还是没回复,那就再重新发一遍,上面加上大写的红色的或者粗体的“RE-SEND!”如果还是没消息,就打电话吧~

Write it euphemistically first and put the email you wrote last time under it. If he still does not reply, then resend again with the "RE-SEND!" letter in bold or red on top. If still receive no reply, then make a phone call.

四、展会上遇到的客户开发信。

4. The development letter to the customers encounter in the  exhibition.

Dear Sirs/Madam:

Good day! How are you?

How are you doing? Glad to get your name card from HK fair.

This is [name] from [company name]. We specialized in [product], and all our products with CE/FCC/FCCID approved.

Regarding the FUN MINI DVR your selected on the fair, pls find the details with best offer in attachment.

在做业务的过程中,每个人都需要学会主动,客人一个眼色,你就要能完成三四个动作。如果客人问你价格,你连详细参数尺寸包装材料都一并提供了。客人问你说明书,你连设计稿和文字都完整无误地给他参考。客人需要彩盒,你不止给了他图片,还有准确尺寸的刀模图,连别的客人的彩盒也一并给他做设计参考。你说,客人是不是会对你印象很好?

In doing business, everyone needs to learn to take the initiative. You need to finish three or four movements for your customer’s glance. If the customer asks you the price, you should offer it together with the detail specifications of the product and package. If he asks you for the instruction manual, you should send him with the design artwork and text for his reference. If the customer needs the giftbox, you should send him some designed sample and diecut for reference. If you can do this, you will leave a good impression on the customer.  

五、寄样品运费让对方出(到付)的委婉邮件。

5. The euphemistic email about the customer’s in charge of the freight of the sample .

Dear Sirs/Madam:

Good day! How are you?

Thank you so much for your kind reply!

Sure, samples will be prepared soon. Could you pls give me your courier account? Such as FedEx, DHL, UPS, TNT, etc. Each one is OK.

I'll inform you the tracking number after parcel picked.

Please contact me if further questions. Thank you.

六、客户嫌价格高时,你的回复。

6. If the customer said your price is too high, what should you reply?

通常客户说我们的价格高,这时候我们要问下客户的采购量以及他的目标价,从而进一步了解客户是否是我们的目标客户,再作出相应的策略。

Usually the customers said our price high, so at this time, we can ask his purchase quantity and target price so as to get further understanding of whether he is our target customer and then make the appropriate strategy.

(1) Dear Sirs/Madam:

Good day! How are you?

Thank you so much for your kind mail!

Sure, our models are with top quality and all of them meet the quality level in your local market. If the price is not suitable in your price range, could you accept to do a little change? The price will be reduced 3%. That is, EUR2.13/pc.
Pls don't worry about the quality. Price is important, but quality counts for much more!

Here is just a little change, the original length of the flashlight is 102mm, and now we just make it shorter of 89mm instead! And then, the total cost will be reduced 3% because of the material saved!

All the luminosity and the body look the same! I think it's workable for both of us. Any comments?

七、发了PI后客户没回信,怎么办呢?不用怕,再发邮件提醒一下。另外必要时还给客户电话问下是否收到邮件,让他尽快确认。

7. If you send out the PI but receive no reply, how to do? Do be afraid and send an email to remind him.  In addition, if necessary, you can make a phone call to check whether the customer has received your email and ask him to confirm soon.

Dear Sirs/Madam:

Good day! How are you?

Sorry to trouble you again!

Regarding the PI dated on ***, could you pls sign and confirm by return asap? Because we need plenty of time for arranging mass production.

It's a long time since I have got your reply last time. How is everything going on? If anything changed, pls keep me posted.

八、寄了样品,并且感觉客户应该是满意的,但是他没有回音了,怎么办呢?这时你就可以发下面这个。

8. If you send out the sample and feel that the customer will be satisfied, but you receive no reply, how to do? At this moment, you can use the follow email.

Good day! How are you?

Sorry to trouble you again.

Regarding the project we discussed last time, could you pls confirm by return today? Because we need plenty of time for mass production. P/I will be sent to you asap after your confirmation.

If anything changed, pls keep me posted.

九、如果客人拼命的砍价,这时你不能一下子给人家底价,可以用采购数量来给他打个小折,这样就算价格低了,数量上也补点进来。

9. If the customer bargain a lot and you can not show him your bottom price, you can give him a small discount according to his purchase quantity. In this way, you can still make money from it even though you give him a lower price.

1) Super grade, USD***, give you a special discount of 2%.

2) A grade, USD***, similar as super grade, but price much more competitive.

十、你的客户是中间商,他也需要等他的客户回应之后才能再和你联系,没事时发个邮件让中间商客户别把你忘了。

10. If your customers are the middleman and he needs his customer’s reply before contacting you, you can send him an email to remind your existence.

十一、如果客户要来中国看你们厂了!很开心吧!激动时别忘记发邮件确认彼此联系方式呀。

11. If your customer want to come to China to visit your factory, do remember to send email for confirmation of the contact information of each other.

Dear Sirs/Madam:

Good day! How are you?

I'm so glad to hear that you'll be in China soon, and hope to have a face-to-face meeting with you.

Could you pls give me your time schedule and cell phone number?

We'll arrange to pick you up from the airport.

My cell phone is ***. Pls call me if any questions.

十二、如果最终客户给你一个令人不愉快的消息,明确说他的订单下给别人了,这时你需发封信感谢一下吧,即使做不成这笔生意,以后还是有机会的,先培养着感情。

12. If the terminal customer send you an the end customer to give you an unpleasant news that he has already placed the order to other factory, then you should send a thank you letter to him. Although you can not make the deal this time, you still have the chance in the future. So you can cultivate the feelings first.

Dear Sirs/Madam:

Good day! How are you?

Thank you so much for your kind mail.

We sincerely hope to find a way to cooperate with you.

If your customer would like to place the order to another vendor, that's OK.

If you have another chance in the near future, pls keep me posted. It's my pleasure to be on service of you.

By the way, will you plan to visit China soon? I really hope to have a face-to-face meeting with you.
